01
A growing practice neededsystems that could grow with it.
Buford Care is a healthcare practice owned by Dr. Khodakaram, running across two locations in metro Atlanta.
As it built up its primary care operations and moved into aesthetic services, the digital experience and the internal systems stopped keeping pace. Patients expected online scheduling, fast answers and modern communication. Behind the desk, the practice needed tools that removed repetitive administrative work rather than adding more of it.
That is where I came in.
02
The practice was growing. The systems weren't keeping up.
- Website Dated, not properly responsive, booking buried
- Hosting Architecture needed review for the workflows planned on it
- Scheduling AdvancedMD ran the practice; the public booking path did not meet it
- Front desk Manual call handling, constant staffing pressure
- After hours No way to ask a question or handle a routine request
- Retention Follow-up, recall and cancellations handled ad hoc
- Visibility No established social audience, no content rhythm
The solution wasn'tanother disconnected tool.
One connected practice.
Dashed by design: provider review of documentation, and clinical routing from the assistant, stay with a person.
03
A new front door, wired to the systems behind care.
The site was rebuilt as a modern, mobile-first experience on current web technology, and then, the part that matters, connected to AdvancedMD so booking stopped being a form in somebody's inbox.
The front door
- Complete redesign, mobile-first
- Service discovery and booking surfaced
- Performance, hosting and security rebuilt
The wiring
- Booking, rescheduling and cancellation
- Scheduling workflow integration
- Supporting administrative requests
- Patient
- Website
- Connected API workflow
- AdvancedMD
- Confirmed
04
A modern website is only valuablewhen patients can find it.
Rebuilding the site was half the job. The other half was making the practice findable: in search engines, and in the answer-style results patients increasingly get instead of a list of links. I worked on the technical foundation, the service content, and how clearly the site explains what the practice actually does.
Illustrative: a representative search path, not a captured result page
- Patient searches primary care near me
- Finds the service page bufordcare.com › services Primary care & medical aesthetics, Buford Care
- Reads what the practice does
- Books Book an appointment
Organic website visits / month
3,000
Reached within the initial 90-day engagement
- Technical foundation Crawlable structure, clean indexing, fast pages on mobile
- Service content Each service explained the way patients actually search for it, written per page rather than from a template
- Local intent Both locations findable for the services near them
- Answer-shaped Direct answers to real patient questions, with service pages linked to the booking path
SEO is being found in the results. AEO is writing clearly enough that the engines summarizing those results can cite the page. The site was built for both.
05
Every call matters. Now every call has a system.
24/7 AI-powered call handling across two clinic locations.
An AI voice receptionist now takes incoming calls and carries out routine front-desk work, with capacity for up to 20 calls at the same time, so a busy Monday stops behaving like a queue. A website assistant covers the same ground in text, after hours.
Front-desk staffing came down by two roles in total, one at each location, after the workflow changes and AI reception went in.
- 24/7 Coverage capability
- Up to 20 Simultaneous calls supported
- 2 Locations, one front desk
- Call arrives Any hour, from either location's line
- AI answers No queue for routine requests
- Intent identified Booking, change, question or refill
- Handled or routed Completed, or passed to staff with the detail attached
06
Patients don't always havequestions during office hours.
Simple questions used to become phone calls, or go unanswered until Monday. A website assistant now handles them in text, and hands anything that needs a person to the staff.
Illustrative conversation, not a live assistant
- Can I book an appointment for next week?
- Yes, I can help you find the right booking option. What are you coming in for?
- Just a routine follow-up.
- Here are the next available follow-up times at both locations.
Answered outside office hours: no call, no waiting until Monday
It does not diagnose, triage or give clinical advice. Those go to a person.
07
An empty appointment slotshouldn't stay empty.
Two things were quietly costing the practice time: appointments patients forgot, and openings nobody refilled. Both were being handled by whoever at the desk happened to notice. Both now run on a workflow.
Illustrative: sample times and visit types, not a real schedule
- 08:30 Follow-up
- 09:00 New patient
- 09:30 Follow-up
- 10:00 Annual review
- 10:30 New patient
- 11:00 Waitlist patient
- 11:30 Follow-up
- 13:00 Aesthetics consult
- 13:30 New patient
- 14:00 Follow-up
- 14:30 Annual review
- 15:00 Aesthetics consult
- Cancelled A patient cancels; the slot frees up
- Released The workflow sees the opening
- Matched Eligible waitlist patients are contacted
- Refilled One accepts; the slot is booked again
Patient attendance / automated reminders
Fewer missed appointments
Reminders, confirmations and follow-up go out on a schedule over SMS, email and AI-assisted voice, so keeping track of an appointment stops depending on the patient remembering unaided, or the desk finding time to call.
Reduced patient no-shows
Schedule utilization / waitlist
Openings recovered
When a cancellation frees provider time, the workflow identifies the opening and contacts eligible patients from the waitlist and recall list, instead of a staff member working out who to ring.
Cancelled openings refilled from the waitlist
- Better use of provider time
- Less manual waitlist coordination
- Earlier appointments for waiting patients
08
Less friction behindevery appointment.
The work that happens around a visit: the reminder, the form, the note, the follow-up, was the part still running on somebody remembering to do it.
- Books online Connected scheduling takes the appointment
- Before the visit Reminders and intake forms go out automatically
- The visit The provider sees the patient
- The note AI prepares a structured draft summary
- Provider review The clinician corrects, approves and signs it
- Afterwards Follow-up, recall and reactivation run on a schedule
Less time documenting.More time on care.
Writing up a visit was taking real clinical time. AI-assisted documentation now prepares a structured draft; the provider edits, approves and signs it into the AdvancedMD workflow.
Before
- Patient visit
- Provider writes the note from scratch
- Note entered into AdvancedMD
After
- Patient visit
- AI prepares a structured draft
- Provider reviews, corrects and signs
- Note enters the AdvancedMD workflow
Illustrative draft: sample text, not a patient record
- SUBJECTIVE: Routine follow-up. Reports symptoms stable since last visit.
- OBJECTIVE: Vitals within expected range. Examination unremarkable.
- ASSESSMENT: Stable. Continue current management.
- PLAN: Review in three months. Patient advised on follow-up.
Less provider time spent preparing visit documentation
Nothing is filed without clinician review.
09
Technology improved the experience.Growth systems expanded the opportunity.
~2,000
Organic followers, from zero
The practice had no audience to build on. I planned and ran the filming, developed and edited the short-form content, and set a rhythm the practice could actually keep, alongside the commercial work behind the aesthetics launch.
Growth doesn't always start with a new patient.
Most practices already have patients who have not been back for care they would want. Reaching them consistently is the part that does not happen, because it is manual. SMS, email and AI-assisted voice now handle it, on the practice's approved processes and with the permissions those communications require.
- Existing patient
- Appropriate outreach
- Patient responds
- Appointment
- Follow-up
More consistent reactivation of existing patients
- Content Filming sessions, short-form video, an editing and publishing rhythm
- Aesthetics Launch positioning, treatment presentation, Botox and PRP/PRF awareness
- Supply Introductions to authorized suppliers and competitive procurement options
- Local Barbershop, salon and spa relationships supporting treatment awareness

One practice. Connected systems.Measurable progress.
- ~ 3,000 Organic website visits / month
- 24/7 AI phone coverage capability
- ~ 2,000 Organic social followers, from zero
- Outdated site nobody found Improved digital discovery SEO and AEO work took the site to roughly 3,000 organic visits a month inside the first 90 days.
- Manual phone workload Improved patient support AI voice and chat cover routine requests around the clock, across both locations.
- Missed appointments Reduced patient no-shows Reminders, confirmations and follow-up go out on a schedule instead of by hand.
- Cancellations left gaps Openings recovered Waitlist and recall workflows refill provider time a cancellation would have wasted.
- Documentation burden Less time on notes AI-assisted drafts cut the writing-up, with the provider reviewing and signing every one.
- Inconsistent follow-up Consistent reactivation Existing patients get appropriate outreach without somebody remembering to send it.
One hands-on partner across healthcare operations, web engineering, API integration, AI systems, front-desk and provider workflows, content, retention and local growth: instead of a separate vendor for each, and nobody joining them up.
The biggest change wasn't a new website or another piece of software. It was turning disconnected tools and manual processes into a more coordinated patient experience.
